Office Positions
Overview: his topic contains a description of the office position field, the intended use for each item on the menu and the intended use for the field. Also covered is how this category affects billing, reports, and the importance of consistent entry patterns.
The Office Position Field: The Office Position field appears as part of the information entered for any SMAR member. Although not required by the site, EACH AND EVERY MEMBER MUST HAVE AN ACCURATE OFFICE POSITION ENTRY to ensure proper billing and site functionality.
Choosing Multiple Selections: The field uses a drop menu. The SMAR admin has the ability to edit this menu if new options are needed. More than one item may be chosen. To choose multiple items, hold down the control key and click as many items as needed. Items may be de-selected by holding the control key and clicking. BE CAREFUL! If multiple selections are already chosen and you click the drop menu list without holding the control key down first, all prior selections will be lost! The best solution for this situtaion is to exit without saving and restart the edit process from scratch.
Choose all possible selections that apply in most cases--HOWEVER, IMPORTANT EXCEPTIONS EXIST--PLEASE CONTINUE READING. The categories were intended to be as mutually exclusive as possible, but the intent is not always clear and some individal situations can throw off the intended purpose. For example, a broker who also acts as a salesperson does not need to have both categories selected. The broker selection implies the member may also be a salesperson, but the salesperson selection does not imply the member is also a broker. The distinction may seem obvious, but it has a big impact on billing and reports and needs to be understood clearly.
Effect on Billing: RPAC billing is heavily affected by the way Office Position is entered. SMAR bills for two types of suggested RPAC fees: Broker/Manager and REALTOR. Each fee is applied to a member based on the Office Position selections for that member. The Broker/Manager RPAC fee is applied to anyone with an office position of Broker of Record, Designated REALTOR or Manager or any combination of these. The REALTOR RPAC fee is applied to anyone with Associate Broker or Salesperson selected. If a Manager also has either Salesperson or Associate broker selected, the result will be a double RPAC fee on their dues invoice.
Menu Item Definitions As of this wrting, the following items appear:
Affiliate Employee--Used to describe an affiliate member other than the owner of the business.
Assistant--An unlicensed and usually honorary SMAR member working for another member. Usually acts as a point of contact. Does not pay dues.
Associate Broker--Originally intended to track an member with this type of DLLR-issued license, the selection became less clear cut due to the billing issue described above. It may now be used only if the member is not also a Broker of Record, Designated REALTOR or Manager. For example, Associate Broker and office contact is acceptable, Associate Broker and Manager will trigger double RPAC billing.
Broker of Record--As listed on the application forms for office membership. Do not use in combination with Salesperson or Associate Broker.
Designated REALTOR-- As listed on the application forms for Office Membership and subsequent update forms. Do not use in combination with Salesperson or Associate Broker. If an affiliate, use Owner instead.
Manager--The administrative business manager of an office or offices. This does not need to be a Broker or Designated REALTOR, although it often is for smaller comoanies.
Non-Member SMAR Contractor--Used to track companies and individuals who perform work for the Association, but who do not belong to the Association, such as plumbers, electricians, lawn care, etc.
Office Contact--The best person to ask for when calling an office. Does not need to be a REALTOR or even a dues paying member.
Owner--Owns the business. This was intended as a substitute for the Designated REALTOR for affiliate members. It describes the person responsible for the employees of the company.
Salesperson--Typically a licensed agent who is not also the Designated REALTOR, Manager or Broker. Salesperson is tied to the RPAC billing function. Be sure not to use it in combination with Broker, Manager or Designated REALTOR when describing a member to avoid cfreating future billing problems.
Secondary--Pays local, State and National dues to another primary association while paying only local dues to SMAR.
Secondary Paying SMAR State Dues- Pays local and National dues to their primary association while paying local and state dues to SMAR. Be sure to describe this type of member as Secondary in the member Type field to ensure proper billing.
SMAR Member Keyholder--a member of SMAR who also participates in the lockbox system. Not to be confused with Reciprocity Key holders who are not SMAR members but have joined the lockbox system. The reciprocity members will probably fade away as the regional lockbox system gains strength.
SMAR Staff--Employees of SMAR. They don't get billed.
